Set up Form Fill Notifications

SharpSpring enables you to create an automation tasks to notify someone whenever a visitor fills out a form. Notifications can be sent by email or text. In order to create the automation rule, you create a form so that the workflow can reference it.​

The following video will show you how to set up form filled notifications in SharpSpring. However, if you prefer, a written step-by-step guide is available below the video for your convenience.

Step-by-Step Guide to Setting Form Fill Notifications

Step 1: Click on the green “New” button located in the top right corner of SharpSpring.

Step 2: Select "Workflow" from the drop down menu.


Step 3: Name the Workflow in the field provided.

Step 4: Click on the blue “Add Workflow” button once you're finished.
 

Workflow Settings

Step 1: Go to the "Events" section of the page.

Step 2: In the first drop down menu, select "Immediately" for when you want to send the notification.


Step 3: In the drop-down menu to the right of the “after start” text choose the “send notification to” option.

Step 4: Choose the person who will be receiving the alert.

If you wish, you can select the option to send a text. You can also choose to send the notification to the lead owner as well.

Step 5: Click the blue “Add Action” button.

Step 6: Click the green “Save Changes” button before moving on to the next step.


Creating the Task

Step 1: Click on the green “New” button in the top right corner of SharpSpring.

Step 2: Select “Task” in the drop down menu.



Step 3: Name the Task.

Step 4: Click on the blue “Add Task” button.

Step 5: Select "when any” on the first drop down menu in the "Triggers & Filters" section.


Step 6: Select “Add the Trigger” in the drop down menu directly below “when any.”


Step 7: In the drop down box to the immediate right select “fills out the form.”


Step 8: Enter the Form Name you're referencing.

Step 9: Click the gray “Add Rule” button.

Step 10: Begin typing the workflow name in the field next to “Workflows and Actions.”

Step 11: Place a checkmark in the field provided, next to "Apply workflows to any existing leads that fits this criteria."

Step 12: Click on the green “Save Changes” button.
